1. Overview
Frozen Forums is a community platform for ice-sports players, coaches, parents, and businesses in Central Ohio. This policy describes what information we collect, how we use it, who we share it with, and the choices you have. By using the Site you agree to this policy.
2. Information We Collect
2.1 Information you provide
- Account information. When you sign in through our forum (XenForo), we receive your username, display name, email address, and any profile information you've made public on the forum.
- Listings and posts. Content you post in Classifieds, Looking-for-Goalie/Player, the Goalie Pool, or the Free Agent Pool. This includes text, prices, photos, and any contact details you choose to include.
- Goalie Pool details. Phone number, rinks, availability, notice window, and notification preferences. These are stored to route alerts and to share your phone with a captain only after you confirm a claim.
- Communications. Messages you send through the contact form, support replies, and dispute reports.
- Payment information. When you pay for a $5 LFG broadcast or a Classifieds promotion, your card details are collected and processed directly by Stripe. We never see or store your full card number. We retain the Stripe customer ID, transaction ID, and the metadata that ties a charge to your account.
2.2 Information collected automatically
- Request logs. Our hosting provider logs basic request metadata (IP address, user agent, timestamps, response codes) for security, abuse prevention, and reliability.
- Cookies and local storage. See Section 5.
We do not run third-party advertising trackers, behavioral analytics, or cross-site tracking pixels.
3. How We Use Your Information
- To create and operate your account.
- To display the content you've posted to other users.
- To dispatch Looking-for-Goalie notifications to opted-in goalies.
- To process payments and send transactional receipts.
- To enforce our Terms and to investigate abuse, fraud, or scam reports.
- To respond when you email us.
- To improve the Site by reviewing aggregate usage patterns.
We do not sell your personal information. We do not rent mailing lists. We do not share your data with advertisers.
4. How We Share Information
4.1 Service providers
We use a small set of third-party service providers to run the Site. Each receives only the data needed to perform its function:
- Stripe · processes payments. Stripe receives your name, email, card details, and transaction metadata. Stripe is PCI-DSS compliant. Stripe Privacy Policy.
- Transactional email provider. Sends receipts, LFG notifications, account emails, and dispute correspondence. Receives the recipient email address and the message contents.
- Managed database provider (US). Stores account data, listings, posts, and Goalie Pool preferences. Data resides on encrypted infrastructure in the United States.
- Cloud hosting provider (US). Serves the Site and logs basic request metadata for security and reliability.
4.2 Other users
Anything you post publicly (Classifieds listings, forum posts, roster entries, Free Agent listings) is visible to other Site users and to the public Internet. Goalie Pool phone numbers are shared with a captain only after you confirm a claim.
4.3 Legal obligations
We may disclose information when required by valid legal process, when necessary to protect rights, property, or safety, or when investigating fraud or violations of our Terms.
4.4 Business transfers
If Frozen Forums is acquired, merged, or restructured, user data may transfer as part of that transaction. You will be notified.
5. Cookies and Local Storage
Frozen Forums uses a small number of first-party cookies and browser-storage values. We do not use advertising cookies, third-party tracking cookies, or cross-site tracking pixels.
- Session cookie · keeps you signed in. HttpOnly, secure, essential. Expires when you sign out or after a period of inactivity.
- UI preferences· your ticker pause state and your “ignored sellers” list are stored in your browser's local storage so the Site behaves consistently across visits. These never leave your device.
6. Data Retention
- Account data · retained while your account is active. Deleted within 30 days of account deletion, except where required to retain longer for legal or fraud-prevention reasons.
- Listings and posts · retained until you delete them or until they expire. Soft-deleted content may persist in backups for up to 90 days.
- Transaction records · retained for at least seven (7) years to comply with tax and financial recordkeeping requirements.
- Request logs · retained for up to 90 days for security and abuse investigation.
7. Children's Privacy
Frozen Forums is intended for users age 13 and older. If you are under 18, you must have a parent or guardian's permission to use the Site. We do not knowingly collect personal information from children under 13. If we learn we have collected information from a child under 13, we will delete it. Parents or guardians who believe their child has used the Site may contact privacy@frozenforums.com to request deletion.
8. Your Rights
Depending on where you live, you may have rights to:
- Access the personal information we hold about you.
- Correct inaccurate or incomplete information.
- Delete your account and associated personal data.
- Object to or restrict certain processing of your personal data.
- Export a copy of your data in a portable format.
To exercise these rights, email privacy@frozenforums.com. We will respond within 30 days. We may need to verify your identity before fulfilling a request.
9. Security
We use industry-standard safeguards including encrypted database storage, HTTPS for all traffic, hashed authentication tokens, and least-privilege access controls. No method of transmission or storage is 100% secure. If we discover a breach affecting your data, we will notify you in accordance with applicable law.
10. International Users
Frozen Forums operates from the United States. If you access the Site from outside the United States, your information will be transferred to, stored in, and processed in the United States. By using the Site, you consent to this transfer.
11. Changes to This Policy
We may update this policy. Material changes will be announced on the Site at least 14 days before they take effect. The effective date at the top of this page reflects the latest version.
